Privacy notice for candidates

This notice explains what happens to the personal information you share when you apply for a role on careers.embedpeople.com. It applies to the careers site only. The main EmbedPeople site has its own notice.

Who is responsible

EmbedPeople is the data controller. We are a Dutch company that places remote professionals from South Africa into European teams. You can reach our team at [email protected].

What we collect

When you apply, we collect the information you give us in the application form: your name, email address, phone number if provided, LinkedIn URL if provided, your CV, and any optional message you write to us. We also record the date of your application and the role you applied for.

Our hosting provider may keep technical access logs (IP address, browser, requested URL) for a short period for security purposes. These are kept separately from your application.

Why we collect it

We use this information only to evaluate your application for a specific role, to get back to you about it, and to keep a short record of which applications we received. The legal basis is your consent, which you give by ticking the box on the form.

Where your application goes

When you submit the form, we save your application to this careers website briefly, then forward it to a private Slack workspace where the hiring team reviews it. Your CV is uploaded to that Slack workspace as well.

Once your application has been successfully forwarded to Slack, your application data and your CV are deleted from the careers website. Only a minimal anonymous record is kept here (an internal id, the role, and the date) so we can count how many applications a role received. That minimal record contains no personal data.

If the forwarding to Slack fails, your application stays on the careers website until our team can retry. In that case the team can also delete it on request.

Who can see your application

Inside EmbedPeople: only the people directly involved in hiring for the role can see your application. We do not share it with third parties for marketing, and we do not sell it.

The hiring client team may see your CV and application details if you progress past initial review. We will tell you which client and which team before that happens.

How long we keep it

On the careers website: only until the application has been forwarded to Slack, or for a short retention window if forwarding fails.

In Slack: for the duration of the hiring process plus a reasonable follow-up period, after which we delete it from Slack as well.

Your rights

  • You can ask us to confirm what information we hold about you.
  • You can ask us to correct or delete it.
  • You can withdraw your consent at any time. If you do, we will stop processing your application.
  • You can complain to your local data protection authority. In the Netherlands this is the Autoriteit Persoonsgegevens.

Security

The careers site is served over HTTPS. Application data is stored in a database that is not directly reachable from the public web. CVs are stored outside the public web root and are accessible only through a one-time, token-protected link. See our security statement for more.

Changes to this notice

If we change this notice, we update the date below. Material changes will be communicated to people with an active application.
